Registrations with approval
Review every registration before the attendee gets an e-ticket, for both free and paid tickets.
For community events, invite-only events, or limited quotas, you can have every registration reviewed before the attendee gets an e-ticket. Approval is set per ticket type, so in a single event you can have general tickets that are confirmed right away and special tickets that need approval.
Turning on approval
- Open the Tickets tab on your event, then create or edit a ticket type.
- Tick Requires approval.
- Save.
Attendees see a Requires organizer approval label on that ticket at checkout. If an order includes a ticket that needs approval, the whole order is reviewed.
Turning this option off only applies to new registrations. Registrations that have already come in still wait for your decision.
Reviewing registrations
Registrations waiting for a decision appear in the Attendees tab, under Registrations. You also get a notification when there’s a new registration (while it’s unread, later registrations for the same event are grouped into that notification), and a reminder shows under Needs attention on the Overview page.
- Open the Attendees tab, then choose Registrations.
- Click a registration to see the buyer, the tickets, and each ticket holder’s form answers.
- Click Approve or Reject, either in the registration details or right from the list with the ✓ and ✕ icons, then confirm. When rejecting, you can add a note for the registrant (optional).
This list includes all registrations for tickets that require approval. The ones waiting for your decision always appear at the top, followed by those approved but not yet paid, then the rest from newest to oldest. Search by name, email, or order code, or filter by status:
-
Awaiting Approval — you haven’t decided yet; shown with its review deadline.
-
Unpaid — paid tickets you’ve approved that haven’t been paid for yet; shown with their payment deadline.
-
Confirmed — approved (and paid, for paid tickets). The ticket holders also appear in the attendee list.
-
Rejected — registrations you rejected, along with the note you sent.
-
Expired — passed the review deadline or payment deadline and were cancelled automatically.
-
Approved free tickets are confirmed right away, and the attendee receives the e-ticket email as usual.
-
Approved paid tickets aren’t confirmed yet. The attendee receives an email to choose a payment method and pay. The e-ticket is issued once payment succeeds.
-
Rejected registrations are cancelled, their quota is released, and the attendee receives an email, including your note if you added one. The attendee isn’t charged anything.
Quota and deadlines
While a registration is under review, its ticket quota is held so it doesn’t sell out to someone else in the meantime.
- You have 7 days to review, but no later than the event’s start time (or its end time, if the event is already underway). After that, the registration is cancelled automatically and its quota is released.
- For approved paid tickets, the attendee has 24 hours to pay, but no later than the event’s end time. If it isn’t paid by then, the registration is cancelled automatically.
