Events with multiple dates

How to make one event with several dates, such as a two-day event or a weekly class, and choose which tickets are sold on each date.

Running a two-day event, a class every week, or a show on several dates? You don’t need a new event for every date. One event with several dates is enough. The flow:

  1. Create the event and fill in its dates.
  2. Create the tickets.
  3. Set each ticket to be sold on all dates or on specific dates only.

Buyers pick a date first when they get tickets, then choose from the tickets sold on that date.

Filling in dates when creating the event

In the Create New Event form, the event’s time is one date with Start and End. For a one-day event, that’s all you fill in.

For an event on several dates:

  1. Fill in Start and End of the first date.

  2. Click Add date. The new date is filled in one day after the last one, at the same times, so you only adjust it.

Each date is one line; click it to open or close its fields.
  3. Repeat for the other dates. Each date shows as one line with its day and times. Click the line to change it, or click the trash icon on the open line to remove it. The list sorts itself by date each time you close a date.

  4. Fill in the rest of the form, then click Create Draft.

When you change the start time, the end time moves along with the same length. If the end isn’t set yet, it becomes 2 hours after the start.

The Schedule tab

Once the event is created, all its dates are managed in the Schedule tab, right after Overview. The edit event form no longer shows the event’s time.

The Schedule tab: each date has its own sold count, check-ins and status.

The list has the columns Date, Sold, Check-in and Status. The status is On sale, Paused or Ended (the date has passed). Type in Search dates… to find a date, weekday or time.

While your event has only one date, this tab shows the notice Event over more than one day? as a reminder that you can add more dates here.

Adding a date

  1. Open the event you manage and go to the Schedule tab.

  2. Click Add Date.

  3. Fill in the day and time under Start and End.

    The Add Date form.
  4. Click Save.

A date may end after midnight or on another day, for example 22:00 to 02:00. In the list, such a date is marked (+1 day). All times are in WIB, and one event can have up to 200 dates.

Editing, pausing and deleting dates

Each date’s row has buttons to edit, pause and delete it:

  • Edit: click the row or the pencil icon to change its day and time.
  • Pause sales: the date still shows to buyers as Closed but can’t be picked until you click Resume sales. Tickets already sold stay valid.
  • Delete: removes the date from the event.

Some buttons are turned off, with the reason shown when you point at the button:

  • A date that already has buyers can’t have its time changed and can’t be deleted. Its sales can still be paused.
  • A date that has ended can’t be edited.
  • The last remaining date can’t be deleted, since an event needs at least one date.

Tickets for specific dates

By default, every ticket is sold on all dates. If a ticket is only for some dates, such as a Day 1 and a Day 2 ticket, set it in the ticket type form. This option only shows when your event has more than one date.

  1. Open the Tickets tab, then create or edit a ticket type.

  2. Under Sold on, choose All dates or Specific dates.

  3. With Specific dates, tick the dates this ticket is sold on.

Choose which dates buyers can pick for this ticket.
  4. Click Save.

Good to know:

  • All dates also covers dates you add later.
  • The ticket’s Quota covers all of its dates together, not each date. Leave it empty for no limit. See Quota and purchase limits.
  • A date that is the only date of a ticket can’t be deleted. Change that ticket’s Sold on first.

What buyers see

On the event page, the date section shows how many upcoming dates there are and their range, then the next date, for example “6 dates, 23 October - 27 November 2026” and “Next Friday, 23 Oct, 19:00”. The button is still Get Tickets.

On the Choose Tickets page, a row of date cards sits above the tickets. A date whose sales you paused says Closed. Once the buyer picks a date, only the tickets sold on that date show. One order is for one date, so a buyer coming on two dates places two orders.

Buyers pick a date first, then their tickets.

The chosen date shows in the order summary, e-ticket, ticket PDF, order list and Add to Calendar. For free tickets, one email can have only one active registration per date.

Attendees and check-in

In the Attendees tab, a multi-date event has a Date column showing each ticket’s date. To see one date only, click Filter and pick it under Date. The filter also applies when you click Export Excel, so you can download the attendee list per date.

The Date column shows each ticket's date.
Filter attendees by date.

You don’t need to pick a date for check-in. The scanner under Scan Ticket and the crew check-in link show the Date running now with its attendance. A ticket can be checked in only from 3 hours before its date starts until 3 hours after it ends. Outside that window the scan result is Different date: the ticket is for another date and isn’t checked in. Manual check-in from Ticket Details refuses it the same way.

Withdrawing funds

On a multi-date event, you don’t have to wait for the last date to withdraw money from dates that have passed:

  • Money from dates already held goes to Ready to withdraw in full, even while more dates are coming.
  • Money from dates not held yet is partly ready and the rest is held, like withdrawing before the event.
  • Held money unlocks as each date ends. After the last date ends, the whole remaining balance can be withdrawn.

The balance card in the Withdrawals sub-tab always shows what is ready and what is still held. See Withdrawing funds.
