Exporting the attendee list

How to download your event's attendee list as an Excel file, complete with check-in statuses and form answers, based on the filters you choose.

Besides keeping track of attendees in the dashboard, you can download the attendee list as an Excel (.xlsx) file. It’s useful for record-keeping, handing out race packs, matching up data, or further processing in Excel or Google Sheets.

Downloading the attendee list

  1. Go to your organizer dashboard and choose the event whose data you want to work with.
  2. Open the Attendees tab.
  3. If needed, narrow the list first with the search box or the Filter button (see the section below).
  4. Click Export Excel. On a computer, this is the download icon at the far right of the toolbar. On mobile, the button is below Scan Ticket, next to Check-in link.
  5. The Excel file is saved to your device.

The export follows your filters

The downloaded file always matches the list currently shown. So if you filter the attendee list, only the matching attendees are included in the download. These filters apply to the export:

  • Ticket Type — you can choose more than one, for example every 6.8K ticket type at once for a single race category.
  • Check-in Status — all, checked in, or not checked in.
  • Purchase Date — the date range when orders were placed.
  • Search — the ticket holder’s name, ticket code, or BIB number.

If no filters are active, every attendee is downloaded. If no attendees match your filters, the Export Excel button can’t be clicked.

What’s in the file

Each row represents one attendee’s ticket, with the following columns:

  • Order details: order code, buyer’s name and email, ticket price, and the time the order was placed.
  • Ticket details: ticket code, BIB number (if enabled), ticket type, and the ticket holder’s name and email.
  • Attendance status: check-in time. If it’s empty, the attendee hasn’t checked in yet.
  • Ticket holder form answers: one column per question from your custom form. If you filter by ticket type, only the question columns for the selected ticket types are included.

The data in the file is safe to open directly in Excel:

  • Numbers that start with zero (such as phone numbers or BIB numbers) and 16-digit NIK (national ID) numbers stay intact.
  • Prices are stored as numbers, so you can add them up right away.
  • Check-in times and order times are in WIB (Western Indonesia Time).

For financial reporting, you can also export order data separately from the Finance tab → Order History sub-tab.
