# Event crew

Invite people to help with one event only, as Manager or Check-in, with no access to other events or finance.

An organizer usually runs many events, and the people helping can differ from event to event. From an event's **Crew** tab, you can invite people to help with **that event only**. They sign in with their own Nyebar account, only see that event, and never see finance.

For someone who helps run every event, invite them as an Admin from the **Team** menu instead. See [Managing your organizer team](/en/organizer/getting-started/managing-your-team).

## Crew roles

| Role | What they can do in this event |
| --- | --- |
| **Manager** | Manage details, dates, tickets, vouchers, add-ons, attendees, registration approvals, exports, the check-in link, and check-in. |
| **Check-in** | See the event and attendee list, search attendees, and check them in with **Scan Ticket** or manually. Can't change anything. |

Neither role can open other events, the **Finance** tab, revenue, the bank account, or payouts. Managers also can't submit the event for review, duplicate or delete it, or invite crew. That stays with the owner and Admins.

The owner and Admins also appear in the list, marked **Organizer team**. They can already open every event, so their rows can't be changed here. Use **Search name or email...** to find someone quickly.

## Inviting crew

Only the owner and Admins can invite and manage crew.

1. Open the event, then go to the **Crew** tab.
2. Click **Invite crew**.
3. Enter the **Email** of the person you want to invite.
4. Choose a **Role**: **Manager** or **Check-in**.
5. Click **Send invite**.

![The Invite crew form with an email and a role.](https://help.nyebar.id/screenshots/en/org-event-crew-invite-modal.webp "Enter the email, choose a role, then send the invite.")

Nyebar emails an invite with the event's details and a button to accept it. Once it's sent, the invite link is also shown once on screen, so you can copy and share it yourself.

> **Invites are tied to an email**
>
> Only the account with the invited email can accept the invite. Someone without an account can sign up with that email on the sign-in page, then accept. Invites are valid for 7 days and can be used once. The organizer's owner and Admins can't be invited as crew, since their role already covers every event.

Until it's accepted, the invite shows as **Pending**. On its row you can **Resend** it (the old link stops working and it's valid for another 7 days) or **Cancel invite**.

## Changing a role or removing crew

On a crew member's row, click the pencil icon to **Change role**, or the trash icon to **Remove from crew**. Changes apply right away.

> **Crew limit**
>
> An event can have up to 20 crew, including pending invites. When it's full, the **Invite crew** button can't be clicked.

## For crew

Open the link in the invite email, then click **Accept invite**. If you're not signed in, click **Sign in to accept** first, with the account that has the invited email.

Once you accept, you go straight to that event in the organizer dashboard. What you see:

- **Overview** sums up the events you help with: tickets sold, check-ins, and upcoming events, with no revenue figures. Managers also see registrations waiting for approval under **Needs attention**.
- **Events** lists only the events you help with. On wider screens, your role shows next to the event's title.
- The event's tabs follow your role. Check-in crew, for example, only see **Overview** and **Attendees**.

If you help with events of more than one organizer, switch between them from the account menu at the bottom of the sidebar.

## Leaving a crew

To stop being crew, open **Account Settings**, find **Event crews**, click the leave button on the event's row, and confirm with **Leave**. The event's owner and Admins are told.

## Crew notifications

- The owner and Admins are told when someone joins or leaves a crew. Click the notification to open that event's **Crew** tab.
- A crew member whose role changes is told their new role.
- Managers also get the notifications of the event they help with, such as sold-out tickets and registrations waiting for approval.

> **Crew or the check-in link?**
>
> For one-off volunteers at the door, the [crew check-in link](/en/organizer/attendees-and-check-in/team-check-in-link) is enough: no account and no dashboard access. Invite them as Check-in crew when they need to search attendees or check people in manually with their own account.
